• All private bookings are arranged and confirmed in full via email with Lara Gothique.

• A non-refundable retainer payment of 50% of the total booking fee is required at the time of the booking to confirm and secure your booking reservation.  (The retainer reflects time reserved, administrative work, advance planning, and the inability to re-sell the booking date once confirmed.)

• If the event date is within 30 days or less, then payment is required in full.

• Any outstanding balance must be paid no later than 30 days before your confirmed booking date.

• You will enter into a binding contract with Lara Gothique when we confirm that your session is fully booked via your retainer payment and booking confirmation email.

• Any special requests must be made at the time of booking. Any additional inclusions requested after the booking confirmation email may be subject to an additional charge.

• Health, Access & Disclosure Requirements:

You must inform Lara Gothique in advance, via email, if you or any of your clients/attendees:

• Have any health or medical conditions
• Are pregnant or post-natal
• Use a wheelchair or mobility aid
• Have sight or hearing impairments

Sessions can be adapted to support a wide range of needs, but advance notice is essential. Lara will also verbally screen participants on the session date.

Failure to disclose or update relevant information is the full responsibility of the booking party and the individual concerned.

Lara Gothique will not be held responsible for any issues arising from undisclosed or inaccurately disclosed conditions or limitations.

If any participant is unable to attend or continue with the session due to a disclosed or undisclosed condition, no refund will be offered.



All cancellation periods are calculated from the confirmed session date.

•  If you cancel the booking 30+ days before the session date, the 50% retainer amount will be retained as a cancellation fee.

• If you cancel the booking between 14-29 days before the session date, 75% of the paid fee will be retained as a cancellation fee.

• If you cancel the booking between 1-13 days before the session date, 100% of the paid fee will be retained as a cancellation fee.

• If you cancel the booking on the session date, 100% of the paid fee will be retained as a cancellation fee.

• If you/your clients/attendees do not turn up for the booking on the confirmed date, 100% of the paid fee will be retained as a cancellation fee.

• Booking times are confirmed in writing via email and cannot be extended or amended if you or your group arrive late.

• If you request to rearrange the booking date for any reason once the original booking date has been confirmed, you will be required to pay an additional 50% retainer fee to secure the new booking date.

• If you have booked the session venue yourself, then you must let us know of any proposed changes to the confirmed venue booking details as soon as possible. For example: if a venue you have booked needs to change the timing of your confirmed activity; a change in the venue or venue type (nightclub, pub, bar, dance studio, hall, etc.) at which any activity you have booked is to take place (where the activity itself has not significantly changed), etc., then you must discuss the proposed change(s) with us as soon as possible to check that all the changes are agreeable with Lara Gothique. 

• Because your session is booked and planned in advance, in some circumstances, we must reserve the right to make changes to them, and, on the very rare occasion; cancel. Most changes will be insignificant. For example: if a venue that we have booked needs to change the timing of your confirmed activity; a change in the venue or venue type (nightclub, pub, bar, dance studio, hall, etc.) at which any activity you have booked is to take place (where the activity itself has not significantly changed), etc. If we need to make an insignificant change to the main characteristics of your arragements, we will notify the change as soon as possible, and confirm that the new arrangements are agreeable.

• Occasionally we may have to make a significant change to your confirmed arrangements and if that is the case, we will seek your agreement to do so. A significant change is one where we or our own venue suppliers significantly alter any of the main characteristics of your arrangements. If we have to make a significant change or cancellation, we will contact you as soon as possible to discuss and agree the best possible solution.

• Unavoidable and extraordinary circumstances: Except where otherwise expressly stated in these booking conditions, Lara Gothique will not be held liable or pay you compensation if our contractual obligations to you are affected by unavoidable and extraordinary circumstances which we or the supplier(s) of the service(s) in question could not avoid even taking all reasonable measures. These events can include, but are not limited to: war, threat of war, civil unrest, terrorist activity and its consequences or the threat of such activity, riot, the act of any government or other national or local authority including port or river authorities, lock-outs, local unrest, industrial dispute, power-cuts, floods, natural or nuclear disaster, fire, pandemic or epidemic, chemical or biological disaster, adverse weather, snow, ice, storms, river conditions, venue closure or venue interruption, area closure, road closure, and all similar events outside our or the venue supplier(s) control.

• Advice from the Government or Police to avoid or leave a particular area will also constitute unavoidable and extraordinary circumstances.

• If Lara Gothique/We have to cancel your booking for any reason outside of the unavoidable and extraordinary circumstances, a full refund of monies paid will be issued within 30 days. (Please note: if Lara Gothique is incapacitated at the time of cancellation (eg: hospitalised, etc.), this may obviously affect the above timescale.)



• Our Conduct:

• Lara Gothique reserves the right to refuse or terminate a session where safety, conduct, or suitability is compromised.

• Lara Gothique will conduct all sessions professionally, inclusively, and with safety as a priority.

• Participants are responsible for their own behaviour, safety, and level of participation.

• Lara Gothique/We reserve the right to refuse participation to anyone who is intoxicated, abusive, disruptive, or whose behaviour compromises safety.

• If you or your group have any issues during the session activity, you must let Lara Gothique know immediately.

• Your group members are fully responsible for their own involvement in the session, and are also fully responsible for their own behaviour and safety during the session.

• We expect all group members to behave courteously, and with consideration for others. Lara Gothique/we reserve the right to refuse participation to anyone who is intoxicated, abusive, disruptive, or whose behaviour compromises safety.

• You and your group members accept full responsibility for any sort of damage or loss caused by you or any member of your party during your booking with us. Full payment for any such damage or loss must be paid directly to ourselves, the venue owner, manager, or other supplier at the time this occurs. Failure to do so may result in liability for subsequent claims and associated legal costs.

• Nothing in these Terms & Conditions excludes or limits liability for death or personal injury caused by negligence, or for any other liability that cannot be excluded under UK law. Subject to this, Lara Gothique will not be held responsible for loss of personal items, injury, or any other loss suffered during the session.
